Evaluation Record Retention Policies
Institutional
The retention of institutional records for faculty Summary Evaluation Forms, student course evaluations, and other required documentation will reside with and follow the policies of ACC Human Resources.
Department

- All evaluation materials will be retained for at least three years for all faculty.
- Particular note should be made of faculty on a Performance Improvement Plan for reexamination in the following year.
- Summary Evaluation Forms, Supplementary Conference Forms, and Performance Improvement Plans will be retained indefinitely for all active faculty (these will be included with evaluations material for future reviewers).
- Summary Evaluation Forms for inactive faculty will be retained for at least six years.
Dean

- Summary Evaluation Forms, Supplementary Conference Forms, and Performance Improvement Plans will be retained indefinitely for all active faculty.
- Maintains evaluation materials for all Department Chairs (in their capacity as Department Chair) in their area.
Faculty members

- Although departments are expected to maintain copies of all evaluation materials for at least three years, it is recommended that individual faculty members maintain copies of their own materials for at least that period of time as well.
